Order creation and management

How do I create a new order?

Navigate to Orders and tap the + button. Select a customer, add products with quantities and prices, set the order date, and choose a payment method. You can also add shipping details, apply offers or discounts, and capture a consultant signature for beauty parties.

Which fields are required for an order?

The minimum required fields are:

  • Customer — Select an existing customer
  • At least 1 item — Each item needs a product, quantity, and unit price

All other fields (delivery date, payment method, shipping details, signature, discounts) are optional but help keep your records complete.

What gets automatically created when I submit an order?

When you create an order, several related records are generated automatically:

  • Receipt — A receipt is auto-generated with a unique number (format: REC-YYYYMMDD-XXXX) containing all order details, customer info, and business info
  • Inventory deduction — Stock is automatically reduced for each ordered product using FIFO (oldest batches first)
  • Follow-up reminder — If you enable a conditional discount with a deadline, a reminder is created to track the repayment due date
  • Offer redemption — If an exclusive offer or birthday discount was applied, the redemption is recorded

This automation saves time and ensures your records stay consistent.

How do discounts and offers work with orders?

Orders support several discount types:

  • Exclusive offers — Apply a pre-configured offer with a set discount percentage
  • Birthday discounts — Automatically applied if the customer has an eligible birthday activation
  • Conditional discounts — Party repayment discounts with a deadline. A follow-up reminder is created to track the deadline

The system calculates the final price automatically, showing the original amount, discount, and final total.

How does inventory deduction work with orders?

When an order is created, inventory is deducted automatically using the FIFO method (First In, First Out). Products from the oldest batches (by best-before date) are used first. This ensures you're always selling the oldest stock first, minimizing waste and expiration.

How does delivery tracking work with warehouse orders?

When the warehouse setting is enabled in Reminder Settings, orders that are not delivered immediately enter a fulfillment workflow. Delivery reminders are created automatically for orders awaiting shipment.

Available delivery methods include pickup, shipping, and deliver in person. You can update the order status as you fulfill each shipment.

If you deliver products in person, toggle Delivered Immediately when creating an order to skip the fulfillment workflow.
