Your home screen overview

What does the Dashboard show?

The Dashboard is your home screen after logging in. It provides a quick overview of your business activity including recent sales, upcoming appointments, low-stock alerts, and key performance metrics so you can stay on top of your business at a glance.

What metrics and statistics are displayed?

You'll see key business metrics including total sales revenue, number of active customers, upcoming appointments, inventory value, and recent order activity. The metrics update in real time as you make changes throughout the app.

What quick actions are available from the Dashboard?

From the Dashboard you can quickly create a new sale, add a customer, schedule an appointment, or check your inventory alerts. These shortcuts help you perform the most common tasks without navigating through multiple menus.

How do I customize the action button?

Tap the floating action button (FAB) in the center of the tab bar to fan out your quick actions in a radial menu. On the Dashboard, while the menu is open, tap the Customize control (gear icon) near the top of the screen.

This opens the customization sheet where you can reorder your selected actions and swap them for others. Your choices save automatically and sync across your devices.

Note: long-pressing the FAB no longer opens customization — customization moved to the Customize control in the open menu, and holding the FAB now starts Voice Command instead.

How does Voice Command work?

Press and hold the center FAB, then speak a command — for example to open a screen or start creating a customer, order, or appointment. An on-screen "Listening…" indicator shows while you hold; release to send.

The app transcribes what you said and then either opens the matching screen, pre-fills a form for you to confirm before it runs, or — if it isn't a recognized command — opens the AI Assistant with your words as a question.

The first time, you'll be asked to enable voice commands: a short recording is sent to Amazon Transcribe (AWS, in the EU), used only to return the transcript, not stored, and not used to train AI. Microphone access is required.

Voice Command is part of MyPink Plus. On the free tier, holding the FAB takes you to the subscription screen instead.

Customers

Managing your customer relationships

How do I find and filter customers?

The customer list supports search by name, phone number, or email address. You can also filter by customer segment, activity status, or sort by most recent purchase. Use the search bar at the top of the page for instant results.

What information is available on a customer profile?

Each customer profile has 7 tabs:

  • Details — Contact info, preferences, skin type, interests, and reorder settings
  • Orders — Complete purchase history with status filtering
  • Receipts — All transaction receipts
  • Appointments — Past and upcoming beauty appointments
  • Time Slots — Available scheduling slots for this customer
  • Offers — Birthday offers, exclusive promotions, and redemption history
  • Documents — Customer documents and files

How do I add a new customer?

Tap the + button on the customer list page. Fill in the customer's basic information such as name, email, and phone number. You can also add preferences like skin type and product interests to personalize future recommendations.

How do I edit customer information?

Open the customer profile and tap the edit button. You can update any field including contact details, preferences, skin type, interests, and reorder settings. Changes are saved automatically and synced across your devices.

Can I import customers in bulk?

Yes, you can import customers from a CSV file. Navigate to the customer list and select the import option. Map your CSV columns to the corresponding fields and review the data before confirming the import.

What is the customer timeline?

The customer timeline shows a chronological history of all interactions and activities with a customer, including purchases, appointments, offer redemptions, and notes. It helps you understand the full relationship at a glance.

Products

Product catalog management

How do I create a new product?

Go to Inventory > Products and tap the + button. You'll need to fill in the product details across two steps: first the product information (SKU, name, description, categories, image), then the pricing (retail price and consultant price).

Which fields are required when creating a product?

The following fields are required:

  • SKU — A unique product identifier (1–50 characters)
  • Name — The product name (1–200 characters)
  • Categories — Select 1 or 2 product categories
  • Retail Price — The customer-facing price (must be 0 or greater)
  • Consultant Price — Your purchase price (must be 0 or greater)

The Description (up to 1,000 characters) and product Image are optional but recommended for better organization.

How does the QR code / barcode scanner work for products?

The app offers two scanner modes:

  • SKU Scanner (product creation) — Scan a product barcode to automatically capture the SKU. If the product already exists, it will be found instantly. If not, a new product form opens with the scanned SKU pre-filled, saving you from manual entry.
  • Full QR Scanner (inventory) — Scan a barcode to find a product and add it to your inventory in one smooth workflow.

Both scanners support torch (flashlight) toggle and camera switching for flexible scanning in any lighting condition.

How do product categories work?

Each product requires 1 to 2 category selections. Categories help organize your product catalog and make it easier to find products when creating orders or browsing inventory. Choose categories that best describe the product type.

Inventory

Stock tracking and management

How does inventory tracking work?

The inventory system tracks the quantity of each product you have in stock. When you create an order, inventory is automatically deducted. You can also manually adjust quantities, for example when receiving new stock or accounting for samples.

What is batch management?

Batch management lets you track products by their best-before date (in YYYY-MM format). This is useful for products with expiration dates. When inventory is deducted for orders, the system uses FIFO (First In, First Out) — oldest batches are used first to minimize waste.

How do reorder alerts work?

You can set a reorder threshold for each inventory item. When the quantity drops below this threshold, you'll receive a low-stock alert on your dashboard and in the reminders section. This helps you reorder before running out of popular products.

How do I use the QR scanner to add inventory?

Tap the scanner button on the inventory page. Scan the product barcode — if the product is found, you'll see a confirmation with the product details. Then set the quantity and optionally a batch date, and confirm to add it to your inventory. If the product isn't found, you can create it directly from the scanner.

Invoices

Invoice upload and OCR processing

How do I upload an invoice?

Navigate to Invoices and tap Upload. You can drag and drop or select PDF files or images (up to 10 MB each). Multiple files can be uploaded at once. Each file is securely encrypted and uploaded to the cloud for processing.

How does invoice OCR scanning work?

After uploading, the invoice is processed by AI-powered OCR (Optical Character Recognition) using AWS Bedrock. The system automatically extracts:

  • Invoice number and date
  • Vendor/supplier name
  • Line items with product name, SKU, quantity, and unit price
  • Subtotal, tax, and total amounts

Each extracted field includes a confidence score so you can verify accuracy before confirming.

What are the invoice processing statuses?

Invoices progress through these statuses:

1. Uploaded — File received and stored securely 2. Processing — OCR is analyzing the document 3. Processed — Data has been extracted and is ready for review 4. Confirmed — You've reviewed and approved the extracted data

If processing fails, the status changes to Failed and you can retry or enter the data manually.

How do invoices help with inventory updates?

Once you confirm the extracted invoice data, the items can be used to update your inventory automatically. This eliminates manual data entry — instead of typing each product and quantity, the OCR does it for you. Simply review the extracted items, make any corrections, and confirm to update your stock levels.

Orders

Order creation and management

How do I create a new order?

Navigate to Orders and tap the + button. Select a customer, add products with quantities and prices, set the order date, and choose a payment method. You can also add shipping details, apply offers or discounts, and capture a consultant signature for beauty parties.

Which fields are required for an order?

The minimum required fields are:

  • Customer — Select an existing customer
  • At least 1 item — Each item needs a product, quantity, and unit price

All other fields (delivery date, payment method, shipping details, signature, discounts) are optional but help keep your records complete.

What gets automatically created when I submit an order?

When you create an order, several related records are generated automatically:

  • Receipt — A receipt is auto-generated with a unique number (format: REC-YYYYMMDD-XXXX) containing all order details, customer info, and business info
  • Inventory deduction — Stock is automatically reduced for each ordered product using FIFO (oldest batches first)
  • Follow-up reminder — If you enable a conditional discount with a deadline, a reminder is created to track the repayment due date
  • Offer redemption — If an exclusive offer or birthday discount was applied, the redemption is recorded

This automation saves time and ensures your records stay consistent.

How do discounts and offers work with orders?

Orders support several discount types:

  • Exclusive offers — Apply a pre-configured offer with a set discount percentage
  • Birthday discounts — Automatically applied if the customer has an eligible birthday activation
  • Conditional discounts — Party repayment discounts with a deadline. A follow-up reminder is created to track the deadline

The system calculates the final price automatically, showing the original amount, discount, and final total.

How does inventory deduction work with orders?

When an order is created, inventory is deducted automatically using the FIFO method (First In, First Out). Products from the oldest batches (by best-before date) are used first. This ensures you're always selling the oldest stock first, minimizing waste and expiration.

How does delivery tracking work with warehouse orders?

When the warehouse setting is enabled in Reminder Settings, orders that are not delivered immediately enter a fulfillment workflow. Delivery reminders are created automatically for orders awaiting shipment.

Available delivery methods include pickup, shipping, and deliver in person. You can update the order status as you fulfill each shipment.

If you deliver products in person, toggle Delivered Immediately when creating an order to skip the fulfillment workflow.

Receipts

Transaction receipts

How are receipts generated?

Receipts are automatically generated whenever you create an order. You don't need to create them manually. Each receipt is linked to its order and contains all the relevant transaction details.

What information does a receipt contain?

Each receipt includes:

  • Receipt number (unique identifier)
  • Your business information (name, contact, signature)
  • Customer information (name, email, phone, address)
  • Itemized list with product names, quantities, prices, and discounts
  • Subtotal, tax (if applicable), and total amount
  • Date of generation

How does receipt numbering work?

Receipts are numbered automatically using the format REC-YYYYMMDD-XXXX where YYYY is the year, MM the month, DD the day, and XXXX is a sequential counter. This ensures every receipt has a unique, traceable number.

Appointments

Scheduling and calendar management

How does the appointment calendar work?

The calendar shows all your scheduled appointments in a clear visual layout. You can view appointments by day, week, or month. Tap on any date to see the details or schedule a new appointment.

How do I schedule an appointment?

Tap the + button on the appointments page. Select a customer, choose a date and time, set the type of appointment (consultation, beauty party, follow-up), and add any notes. You can also set reminders to notify you before the appointment.

What are beauty parties?

Beauty parties are group events where you showcase your products to multiple potential customers. The app lets you schedule beauty parties, track attendees, and create orders for each participant directly from the event. You can also capture consultant signatures for party-related orders.

How do I quickly log a walk-in customer reminder?

Long-press the Calendar tab at the bottom of the screen to open the Walk-In Reminder sheet. Enter the customer's name, optionally add a phone number and note, then select a follow-up date using quick presets (today, tomorrow, 3 days, next week, or custom). The app creates both a customer record and a follow-up reminder in one step.

How do I manage time slots for customer bookings?

Time Slots let you define your availability for customer appointments. Navigate to a customer profile and open the Time Slots tab, or access them from the appointments section.

You can create slots manually by choosing a date, time, and optionally assigning a customer. The AI-powered Time Slot Wizard can also generate optimized slots based on your schedule and customer preferences.

Each slot shows its status (scheduled, completed, or cancelled) and whether it is targeted to a specific customer or open for anyone.

How do guest reviews work for beauty parties?

After a beauty party, you can collect feedback from attendees using Guest Reviews. From the appointment detail screen, share a review link that guests can open in their browser — no app download required.

Each guest can rate the party (1–5 stars), indicate whether they would attend again, say how likely they are to recommend, and leave open feedback. Reviews appear on the appointment detail screen as a summary card showing the average rating, review count, and attend-again percentage.

Tap the card to expand individual reviews with each guest's name, rating, and responses.

What happens when I complete an appointment?

When you mark a party appointment as completed, a quick-action sheet appears with options to:

  • Rate This Party — Navigate to the post-party summary where you can record attendees, sales, new bookings, and a success rating
  • Share Guest Review Link — Generate and share a link for attendees to submit their feedback
  • Maybe Later — Dismiss the prompt and return to it later from the appointment detail screen

This helps you capture important party outcomes while the details are still fresh.

How do I block an entire day on my calendar?

All-day time blockers let you mark full days as unavailable — useful for holidays, personal days, or multi-day events.

When creating an appointment, select Time Blocker as the type and toggle the All Day switch. The blocker spans the full day and appears as a full-width block on your calendar.

All-day blockers also support recurrence, so you can set up repeating blocks (for example, every Monday) to reflect your regular unavailable days.

How does external calendar integration work?

External calendar integration works in two directions:

  • Sync to device — Your app appointments are automatically mirrored to a dedicated calendar on your device. Creating, updating, or deleting an appointment updates the native calendar event.
  • Read from device — The app reads events from your selected external calendars (Google, iCloud, Outlook, etc.) and displays them as busy slots on your appointment calendar. Conflict detection warns you if a new appointment overlaps with an external event.

To set up, grant calendar permission when prompted. Then select which external calendars to monitor in your calendar settings.

How do I run Live Party Tracking during a party?

Open a scheduled party appointment and tap Start Live Tracking. Tracking begins automatically and a running duration timer appears at the top so you can see how long the party has lasted.

While the party is happening you can:

  • Check in guests as they arrive
  • Log product demos and tag each guest reaction (loved, interested, neutral, or not interested)
  • Capture party photos — take them with the camera or pick from your gallery, up to 10
  • Jot quick notes

Everything saves as you go. When the party ends, tap End Party to move on to the Party Summary.

What is the post-party summary and digest?

After you tap End Party (or mark a party completed), the Party Summary screen lets you record the sales made, number of new bookings, a success rating from 1 to 5 stars, and any follow-up actions. Saving marks the appointment as completed.

You can then open the AI Party Digest and tap Generate AI Digest. The digest turns your party data into a written summary with highlights, improvement ideas, product insights, and suggested follow-ups.

Each digest has a privacy level, and you can Share to Team to post it to your network when the privacy level allows it.

Finances

Financial tracking and reports

What does the financial overview show?

The financial overview provides a snapshot of your business finances including total revenue, expenses, profit, and profit margin. You can see trends over time and compare periods to understand how your business is performing.

What financial reports are available?

You can generate quarterly, yearly, or custom date range reports. Reports include revenue breakdowns, expense categories, profit and loss analysis, and trend charts. Reports can be exported for your records or tax preparation.

How do I track expenses?

Navigate to Expenses to add and manage your business costs. You can categorize expenses (e.g., product purchases, travel, marketing), add dates and descriptions, and attach receipts. Expenses are factored into your profit and loss calculations.

How does profit & loss tracking work?

The P&L view shows your total revenue minus expenses to calculate net profit. It breaks down revenue by source and expenses by category, helping you understand exactly where your money comes from and where it goes. Use this to make informed business decisions.

How do I enable the EÜR report?

The EÜR (Einnahmenüberschussrechnung) is a German quarterly tax report. To enable it:

1. Go to Settings → Business Profile and set your country to Germany 2. Go to Settings → Financial Settings — an "EÜR Tracking" section will appear at the bottom 3. Enable the EÜR toggle 4. Set your default VAT rate (19%) and MK supplier VAT rate (21%) 5. Save — the "EÜR Report" entry will now appear in the Finance menu

Once enabled, expense and order forms will show additional EÜR-specific fields. The report can be exported as CSV, PDF, or Excel for your tax advisor.

How do invoices appear in the EÜR report?

Invoices feed into Section 1 (MK Wholesale Purchases) of the EÜR report. For an invoice to appear:

  • The invoice must be confirmed (not just uploaded)
  • The vendor name must contain "Mary Kay", or the "Intra-EU Purchase" toggle must be enabled

When adding a manual invoice with EÜR enabled, fill in these fields:

  • Gross amount and net amount
  • Delivery cost portion — shipping costs allocated to this invoice
  • Section 2 portion — the part of the invoice that counts as other business expenses instead of MK purchases

The report uses the net amount from MK purchases in the profit calculation.

How do expenses appear in the EÜR report?

Expenses feed into Section 2 (Other Business Expenses) of the EÜR report. All active expenses within the selected quarter are included automatically.

With EÜR enabled, the expense form shows extra fields:

  • Gross amount (primary amount field)
  • VAT rate — choose 19% (standard), 7% (reduced), 21% (EU), or 0% (exempt)
  • Net amount — calculated automatically from gross and VAT rate
  • Vendor name — the supplier or service provider
  • Invoice number (RG-Nr.) — for reference

Expenses are grouped by category in the report. The report uses the gross amount from expenses in the profit calculation.

How do orders appear in the EÜR report?

Orders feed into Section 3 (Income) of the EÜR report. Only orders with status "processing", "shipped", or "delivered" are included — pending and cancelled orders are excluded.

With EÜR enabled, each order has an income type field:

  • Customer sale (default) — regular product sales to customers
  • MK provision — commission or provision payments from Mary Kay
  • MK reward shop — earnings from the reward shop program
  • Other income — any other business income

The report groups income by type and shows subtotals for each. The quarterly profit is calculated as: Income (gross) − MK Purchases (net) − Other Expenses (gross).

How do I add manual income entries?

Go to Income and tap the + button. Choose a date, pick a category (Commission, Bonus, Reward Shop, Referral, or Other), enter the amount, and optionally add a description, source, reference number, and notes.

Manual income is for money that doesn't come from a customer order — things like commissions, bonuses, reward-shop earnings, or referral payments. Revenue from product sales is tracked separately through your orders, so use Income only for these other earnings to avoid double-counting.

If EÜR tracking is enabled, the income form also captures a gross amount, VAT rate, and net amount so the entry feeds correctly into your German tax report.

Reminders

Alerts and follow-up management

What types of reminders are there?

The app supports four reminder types:

  • Low stock alerts — Triggered when inventory drops below your reorder threshold
  • Customer follow-ups — Reminders for post-purchase follow-ups or party repayment deadlines
  • Monthly reorder — Recurring reminders to reorder products for specific customers
  • Custom — Any reminder you create manually for any purpose

How are follow-up reminders created automatically?

When you create an order with a conditional discount (party repayment), a follow-up reminder is automatically created with the repayment deadline as the due date. This ensures you never miss a follow-up with your customers about pending payments.

What actions can I take on reminders?

For each reminder you can:

  • Complete — Mark as done when the action is taken
  • Snooze — Postpone to a later date
  • Dismiss — Remove the reminder if no longer needed

Completed and dismissed reminders are moved to history for your records.

How do I configure reminder settings?

Go to Reminders > Settings to configure default follow-up intervals (e.g., 2 days, 2 weeks, and 2 months after purchase), notification preferences, and which types of reminders you want to receive. You can customize these to match your business workflow.

What is the warehouse and product fulfillment setting?

The Product Fulfillment setting in Reminder Settings controls how order delivery is handled.

When I stock products (have a warehouse) is enabled, the app assumes products are shipped from your warehouse. Delivery reminders are generated for pending shipments.

When disabled, the Delivered Immediately option appears on the order form, allowing you to mark products as handed over in person. Enable this setting if you regularly ship products to customers rather than delivering them face-to-face.

Backup & Restore

Protecting and recovering your data

What backup options are available?

MyPink Party offers two backup strategies:

  • Cloud Backup (S3) — Your data is automatically encrypted and uploaded to secure AWS cloud storage. This is always available and requires no setup beyond being logged in.
  • Local Folder Backup — Your data is saved as an encrypted file to a folder you choose on your device. This uses the browser's File System Access API and is great for keeping an extra local copy.

You can use both strategies for maximum protection.

How does automatic backup work?

When enabled, auto-backup triggers whenever you make changes to your data (creating or editing customers, orders, products, etc.). Changes are batched with a short delay to avoid excessive backups. The system also triggers a backup when you switch to another tab or app.

Smart deduplication ensures that if nothing has changed since the last backup, no new backup is created — saving bandwidth and storage.

You can enable or disable auto-backup in Settings > Backup.

How do I create a manual backup?

Go to Settings > Backup and tap the "Backup Now" button. This immediately creates a full backup of your entire database. Use manual backup before making major changes or as a safety measure in addition to auto-backup.

How do I restore my data from a backup?

There are two ways to restore:

  • Automatic prompt — When you log in on a new device (or after clearing data), the app detects that your local database is empty but a cloud backup exists. It shows a prompt with backup details (date, number of records) and lets you restore with one tap.
  • Manual restore — Go to Settings > Backup and tap "Restore from Backup". The app will show you the available backup details and ask for confirmation before restoring.

Restoring replaces your entire local database with the backup. All data is encrypted with AES-256-GCM, and ownership is validated to prevent cross-user data contamination.

How does device-to-device sync work?

P2P (peer-to-peer) sync lets you transfer data directly between your devices in real time without going through the cloud. When two devices connect, they exchange all data and merge using last-write-wins — the most recent version of each record is kept.

This is ideal for:

  • Quickly syncing between your phone and tablet
  • Working offline and syncing when devices are near each other
  • Transferring data instantly without waiting for cloud sync

P2P sync complements cloud backup — use both for the best experience.

How do I transfer all my data to a new device?

Device Transfer moves your entire encrypted database from one device to another using a direct peer-to-peer connection via WebRTC.

To transfer: 1. Open the QR sync feature on both devices 2. On the sending device, display your QR code 3. On the receiving device, scan the QR code 4. The devices connect directly and transfer your encrypted data

All data is encrypted with AES-256-GCM before transfer. Both devices must be signed in to the same account. Up to 5 devices can be registered per account.

Device Transfer differs from P2P Sync: Transfer is for setting up a new device, while P2P Sync keeps multiple active devices in sync.

Settings

App configuration and preferences

What can I configure in my profile?

Your profile settings include your name, email, profile picture, and passphrase management. You can also change your password and manage account security settings from here.

What are business profile settings?

The business profile contains your consultant business details including business name, contact information, and your digital signature. This information is used on receipts and other business documents generated by the app.

What financial settings are available?

Financial settings let you configure your default tax rate, currency, and financial year start month. These settings affect how prices are calculated in orders and how financial reports are generated.

What app preferences can I customize?

App preferences include language selection (English, German, French, Spanish, Italian, Polish), theme (light/dark mode), notification settings, and default behaviors for various features. Preferences sync across your devices.

How do I configure push notifications?

Go to Settings and open Notification Settings. You can enable or disable push notifications for appointments, customer events, and reminders. The app will ask for notification permission on your device if not already granted.

You can also send a test notification to verify everything is working correctly. Notification preferences are saved to your account and apply to the current device.

How do I enable cloud sync?

Cloud Sync uploads your encrypted data to a secure backend so it stays in sync across your devices. To enable it, tap the sync icon in the header and confirm by typing the required confirmation text.

All data is encrypted with AES-256-GCM before upload. Note that sharing data with cloud services may be subject to your company's compliance rules. As an alternative, you can use Device Transfer to move data directly between devices without cloud involvement.

How do I delete my account?

Go to Settings and scroll to the bottom to find Delete Account. This permanently removes all your data including your profile, customer records, orders, financial data, products, inventory, appointments, and reminders.

You must type a confirmation text to proceed. Your login credentials remain active for 90 days after deletion, allowing you to recover your account if you change your mind. After 90 days, the account is permanently removed.

Where do I configure calendar sync settings?

Calendar sync settings are available in the notifications settings area. You can:

  • Enable or disable syncing your app appointments to the device calendar
  • Select which external calendars the app should read for conflict detection
  • Grant or revoke calendar permissions

When calendar sync is enabled, a dedicated calendar is created on your device. Disabling sync stops future events from being created but does not remove existing ones.

Goals & Achievements

Set targets and track your progress

How do I set up business goals?

Navigate to Goals from the dashboard. You can configure goals for different business metrics like sales, customers, and appointments. For each goal, toggle it on, choose a time period (weekly, monthly, or quarterly), and set a numeric target. Your goals are saved automatically and start tracking immediately.

How does goal progress tracking work?

Once you set goals, progress rings appear on your dashboard showing real-time completion for each active goal. The rings fill as you make progress toward your targets. A pace indicator shows whether you are ahead, on track, or behind schedule.

Can I see my past goal performance?

Yes, the Goal History screen shows your completed goal periods with data visualizations. You can review how you performed in previous weeks, months, or quarters, identify trends, and use this information to set more realistic future targets.

What are achievements and badges?

Achievements are badges you earn by reaching milestones in your business. They are organized into seven categories:

  • Customers — Milestones for growing your customer base
  • Sales — Revenue and order targets
  • Appointments — Completed appointment milestones
  • Streaks — Consecutive days of activity
  • Goals — Completing goal targets
  • Loyalty — Referral milestones
  • Engagement — Active use of app features

Unlocked badges show in full color with the date earned, while locked ones display your progress toward earning them.

How do activity streaks work?

Activity streaks track consecutive days you actively use the app for business tasks like creating orders, adding customers, or scheduling appointments. Maintaining a streak earns you streak-category achievement badges. Your current streak and longest streak are visible on the dashboard.

What are daily check-in rewards?

Daily Check-in is a gamification feature that rewards you for opening the app each day. Tap the check-in prompt to claim your daily reward. Rewards accumulate over the week, with a special Weekly Champion bonus if you check in every day.

Daily check-in helps build consistency and keeps you engaged with your business tracking routine.

Where can I see all my badges and the Hall of Fame?

The Badge Gallery shows all available badges organized by category, with unlocked badges displayed in full color and locked ones showing your progress. You can filter between active and archived badges.

The screen fills in once you have at least one completed party — before that it shows an empty state.

How do I view a shared party digest?

When a team member shares a party digest to your network, you can open it to see who posted it (consultant name and team) along with the party metrics — attendees, new bookings, and success rating.

The detail view also shows the written summary, highlights, and improvement ideas from the digest.

Shared digests are read-only and privacy-safe: they never include customer names or exact sales amounts.

Each reward has a points cost that customers must accumulate to redeem it.

How does reward redemption work?

How do I find at-risk customers?

The At-Risk Overview screen shows all customers whose health scores indicate declining engagement. Each customer is displayed with their health score, risk level color, and the top signal driving their risk (for example, no purchase in 60 days). You can also see at-risk customers directly on your dashboard.

What outreach options are available for at-risk customers?

For each at-risk customer, you can take several actions:

How do member profiles and badges work?

Each team member has a profile showing their display name, achievement badges, and current badge level. Members can view each other's profiles to see accomplishments. Directors have additional management capabilities including removing members.

How do team invitations work?

When you receive a team invitation, it appears as a banner on the Team List screen. You can accept or decline invitations. Directors can invite new members to their team, and pending invitations are tracked until they are accepted or expire.

How do I create an offer?

Navigate to Offers from the main menu and tap the + button. Set the offer name, discount type (percentage or fixed amount), discount value, and optionally a validity period. You can also add a description and choose which customers are eligible.

What are exclusive customer offers?

Exclusive offers are personalized promotions assigned to specific customers. You can create exclusive offers from a customer's profile under the Offers tab. These offers appear when creating an order for that customer and can be applied as a discount.

Exclusive offers help you reward loyal customers or incentivize purchases from specific individuals.

How do welcome offers work?

Welcome offers are automatically available to new customers when they are first added to your system. You can configure the default welcome offer in Settings, including the discount type and amount.

Birthday offers are special discounts that automatically activate during a customer's birthday month. You can set up birthday offers with either a percentage or fixed discount amount.

Each offer tracks how many times it has been redeemed. When an offer is applied to an order, the redemption is recorded automatically with the date and order details.

Where can I share content to?

The app supports three sharing destinations:

  • System Share — Opens your device's native share sheet, letting you send to any installed app (WhatsApp, email, social media, etc.)

All share cards are generated as high-resolution images suitable for social media.

What is MyPink Plus?

MyPink Party offers a single subscription: MyPink Plus. It unlocks every feature — customers, orders, products, inventory, appointments, WhatsApp integration, Care Journeys, AI-powered outreach, advanced analytics, loyalty program, team collaboration, and videos. New users get a free trial before subscribing.

How does the free trial work?

New users receive a free trial of MyPink Plus to explore every feature. During the trial, you have full access to every feature in the app.

Trial reminders are sent at 14, 7, 3, and 1 days before the trial expires so you have time to decide.

If you don't choose a subscription plan before the trial ends, your account moves to the free tier — your existing data stays safe and you keep using the app, but creating new records is limited by the free-tier caps (around 5 customers, 2 orders per customer, and 3 invoices). Subscribe to MyPink Plus anytime to remove the caps.

What features are included?

The Subscription screen shows everything included in MyPink Plus, organized by category (e.g., Communication, Analytics, Engagement) so you can see all the features you get.

How do I manage my subscription?

Subscriptions are billed through the Apple App Store or Google Play Store, depending on your device. You can choose monthly or yearly billing.

To manage, upgrade, or cancel your subscription, go to the Subscription screen in the app or visit your device's app store subscription settings. If you cancel, you retain MyPink Plus access until the end of your current billing period.

What are the free usage limits?

Without a MyPink Plus subscription, the app runs on a free tier that caps how many records you can create. The limits currently are:

  • Customers — around 5 in total
  • Orders — around 2 per customer
  • Invoices — around 3 (uploaded and manually added, combined)

Each affected screen shows a small usage badge (for example "3 / 5") so you can see how much headroom is left. These numbers can be adjusted over time, so the exact caps you see may differ.

Subscribers are not limited — MyPink Plus removes the caps entirely, and you also stay unlimited during your free trial and any grace period.

What happens when I reach a usage limit?

When you try to create a record beyond the free-tier cap, the Subscription screen opens with a "limit reached" message inviting you to upgrade to MyPink Plus. Your existing data is never touched — you simply can't add more of that record type until you subscribe.

Tapping the usage badge while you still have headroom shows a gentle nudge rather than the "reached" message.

How this differs from the trial: the trial is time-based full access with no caps, while the free-tier caps are quantity limits that apply once you're not subscribed. Subscribing (or being in the trial or grace period) lifts the caps.

How do I sign in with Google or Apple?

You can sign in using your Google, Apple, or Facebook account instead of creating a separate email and password. On the login or registration screen, tap the provider icon.

Your browser will open to the provider's sign-in page. After authenticating, you are redirected back to the app and signed in automatically. If this is your first time, a new account is created and you proceed to onboarding.

Social login uses the same secure authentication system as email/password login. Your provider credentials are never stored in the app.

Can I use both email and social login for the same account?

Your account is identified by the email address associated with your login method. If you signed up with email/password and later try social login with the same email, the accounts are linked automatically.

To switch between login methods, simply use whichever option you prefer on the login screen. Your data and subscription remain the same regardless of how you sign in.

How do I change or reset my password?

If you signed up with email and password:

  • Change password — Go to Settings > Profile and tap Change Password. Enter your current password, then your new password.
  • Reset password — On the login screen, tap Forgot Password. Enter your email address and a verification code will be sent. Use the code to set a new password.

If you use social login (Google/Apple/Facebook), password management is handled by your provider.

What do I do if social login fails?

If social login fails or gets stuck:

  • Ensure you have a stable internet connection
  • Try closing and reopening the app, then attempt login again
  • If you see errors about an existing session, the app will automatically clear it and retry
  • On iOS, ensure Safari is set as your default browser for Apple Sign-In to work reliably

If the issue persists, you can always sign in with email and password as an alternative.

What is a party digest?

A Party Digest is an AI-generated summary of a beauty party's results. After completing a party appointment and recording the outcomes, you can generate a digest that summarizes key metrics like attendees, sales, bookings, and highlights.

Digests are generated using AI and tailored to your language. You can generate one digest per party. Once created, the digest is linked to the appointment and can be shared to the Network Feed or as a visual share card.

How do network benchmarks work?

Network Benchmarks appear at the top of the Network Feed and compare your party performance against the network average. Metrics include average attendees, bookings, rating, and party count.

Your personal averages are shown side-by-side with the network average, with color-coded indicators showing where you are above or below. Benchmarks are calculated from anonymized, aggregated data across the consultant network.

How do I share my party digest to the feed?

After generating a party digest, you can share it to the Network Feed so other consultants can see your results. From the appointment detail screen or the digest view, use the share option to publish.

Shared digests show your consultant name and the party summary — no customer names, sales amounts, or private details are included. You can also create a visual share card from the digest for sharing on social media or messaging apps.

Prospects

Tracking sales opportunities through your pipeline

What is the Prospects pipeline?

Prospects is a visual board for tracking your sales opportunities from first contact to a closed sale. Open it from the main menu under Prospects.

Each opportunity is a "deal" tied to a customer, and deals move through stages shown as columns on the board. A forecast bar at the top summarizes your weighted forecast, number of open deals, and total value.

You can filter the board with the pill bar: All stages, High value, or Stale (deals that haven't moved in a while).

How do stages and moving deals work?

Each column on the board is a stage. The default stages for a general business are New Lead, Contacted, Meeting Set, Demo/Sample, and Proposal, plus the terminal stages Won and Lost — the exact middle stages can vary by industry, and you can reorder stages, and add or remove them, in Prospect Settings.

To move a deal, drag its card into another column, or tap the move icon on the card and pick a stage from "Move deal to…".

When you move a deal into Won, it's marked as won. When you move it into Lost, you'll be asked to choose a reason before it's closed. Closed deals can be reopened later from the deal detail screen.

How do I create or edit a deal?

Tap the + button on the board to add a new deal, or open a deal and use Edit.

A deal has these fields:

  • Customer — required; pick an existing customer
  • Title — an optional label, e.g. "Skincare starter set"
  • Deal value — the opportunity's value
  • Stage — required; sets where the deal starts
  • Probability — auto-filled from the stage's default, shown as a percentage
  • Notes — optional details

Each customer can only have one open deal at a time.

What can I do from a deal's detail screen?

The deal detail screen shows the customer, deal value, current stage and probability, plus a stage progress track.

For open deals you get quick actions to move to the next stage, mark the deal Won, or mark it Lost. It also lists when the deal was created, how long it's been in the current stage, and total days open.

Tap the customer to jump straight to their profile. You can also edit or delete the deal from the action button.

What does Prospect Analytics show?

Open Prospect Analytics from the chart icon in the Prospects header. It gives you a snapshot of your pipeline performance:

  • This Month — open deals, won, lost, weighted forecast, win rate, and average velocity (days to win)
  • Conversion Funnel — how many deals sit in each stage
  • Top Lost Reasons — the most common reasons deals were lost
  • Avg. Days per Stage — how long deals typically spend in each stage

How do I configure my pipeline stages?

Open Prospect Settings from the gear icon in the Prospects header.

You can drag stages to reorder them, add a new stage with the + field, or remove a stage. The terminal Won and Lost stages are shown separately and can't be reordered.

Below the stages you can manage your Lost Reason Presets — the list of reasons offered when you mark a deal as lost.

How do prospects relate to customers and orders?

Every deal is linked to a customer, so a prospect is really an open opportunity attached to someone already in your customer list. From a deal you can open that customer's profile directly.

Prospects help you track the opportunity before the sale is made. Once you win a deal, you can go on to create the actual order for that customer in the Orders section.

Lead, conversion, and pipeline performance

What does the Sales Analytics dashboard show?

Sales Analytics gives you an overview of how your sales activity is performing over a chosen time range.

At the top you'll find KPI cards — New Leads, Conversion Rate, Pipeline Value, Follow-up Rate, and Avg. Conversion Time. Below that are a Leads by Source breakdown and an Activity Overview counting your Leads, Customers, Deals, and Tasks Done.

What do New Leads and Conversion Rate mean?

New Leads counts the new prospects that came in during the selected time range.

Conversion Rate shows the percentage of those leads that turned into customers. Together they tell you how well you're bringing in and converting new interest. If there isn't enough data yet, you'll see a "Not enough data yet" note.

What is Pipeline Value?

Pipeline Value is the total value of your open opportunities — the deals you're still working in the Prospects pipeline. It gives you a quick sense of how much potential business is currently in progress, shown in your currency.

How do time ranges work, and how is this different from Finances or Orders analytics?

Use the period selector at the top to switch between 7 Days, 30 Days, 90 Days, and All Time. It defaults to 30 Days, and every metric on the screen updates to match.

Sales Analytics focuses on the top of your funnel — leads, conversion, follow-ups, and pipeline momentum. That's different from Finances and Orders analytics, which report on completed sales, revenue, and money already earned rather than opportunities still in progress.

Segments

Grouping customers by shared criteria

What are customer segments?

Segments let you group customers by shared criteria — for example VIP customers, everyone in a certain city, or people who haven't ordered recently.

The Segments screen lists your segments with a stats bar showing total segments, total members, and the average members per segment. You can filter by All, With Members, or Empty.

How do I build a segment?

Tap the + button to open the segment builder. Give the segment a Name and an optional Description, then add one or more Conditions.

Each condition is a field, an operator, and a value — for example City, Total Spent, Order Count, Days Since Last Purchase, Has Tag, or Birthday Month. Tap Add Condition to stack more; all conditions are combined with AND, so a customer must match every one.

As you build, a live preview shows how many customers currently match.

Does a segment update automatically as customers change?

Yes. Segment membership is dynamic — it's calculated from your conditions rather than a fixed list. Customers automatically move in or out as their data changes, so a segment always reflects who matches right now.

Only active customers are considered when matching.

How do I use a segment?

Open a segment to see its member count, the conditions that define it, and the full list of matching customers. Tap any customer to jump to their profile.

Because a segment is a live group of customers who share criteria, it's a handy way to focus your outreach and campaigns — for example targeting a specific city or your highest spenders.

How do I edit, duplicate, or delete a segment?

From the segment list, swipe a row to edit or delete it. From a segment's detail screen, the action button lets you Edit, make a Copy (a duplicate with the same conditions), or Delete.

Deleting a segment only removes the grouping — it doesn't affect or remove any of the customers inside it.

Customer Events

Activity from your customer portal

What are customer events?

Customer Events is your action center for activity coming from the customer portal. Whenever a customer does something on their side, it shows up here so you can follow up.

The top of the screen shows stat cards for Pending, Urgent, Actioned, and Dismissed events, and you can filter the list by status and by event type.

What types of events are there?

Events cover the main things customers do in the portal:

  • Time Slot Booked — a customer booked an appointment slot
  • Time Slot Cancelled — a customer cancelled a slot
  • Profile Updated — a customer changed their profile details
  • Preferences Changed — a customer updated their preferences
  • Reorder Requested — a customer asked to reorder
  • Birthday Offer Activated — a customer activated their birthday offer

Each type has its own icon and color so you can spot them at a glance.

How do urgency and quick actions work?

Pending events can be flagged as urgent or as a warning, and those cards are highlighted with a colored border so time-sensitive items stand out.

On a pending event you get quick actions:

  • Create Appointment — available for a booked time slot, it opens the appointment form pre-filled with the slot time and marks the event as actioned
  • View Customer — jumps to the customer's profile
  • Dismiss — clears the event once you've handled or don't need it

Actioned and dismissed events stay accessible through the status filters.

How is this different from Customer Requests?

Customer Events is an automatic feed of things customers do in the portal — bookings, cancellations, profile and preference changes, reorder requests, and birthday offer activations.

Customer Requests is a separate inbox for messages customers actively send you, such as product questions, stock checks, consultation or party-hosting requests, and feedback. In short: events are notifications about portal activity, while requests are direct enquiries waiting for your reply.

Security & App Lock

Protecting your app and encrypting your data

How do I lock the app with Face ID or a fingerprint?

Open App Lock from Settings and turn on Enable App Lock. When enabled, the app requires your device biometric (Face ID / Touch ID / Fingerprint) or device passcode each time you open it.

You can also set Lock after inactivity to control how soon the app re-locks: 1, 5, 15, 30 minutes, or 1 hour.

There's a separate Block Screenshots toggle that prevents screenshots and screen recording of the app.

If the toggle is greyed out, your device doesn't have biometrics set up yet — add Face ID / Fingerprint in your device settings first.

What is the encryption passphrase and how do I set or change it?

Your passphrase encrypts your business data. During setup you can either continue without a passphrase (server-managed encryption) or choose Set a passphrase for stronger, private protection.

To change it later, go to Settings and open Change Passphrase. Enter your current passphrase, then a new one (minimum length applies, and a strength meter guides you). You can add an optional recovery hint to jog your memory.

  • Choose something you'll remember — it is not stored anywhere in readable form
  • Your data itself isn't re-downloaded; only the key protecting it is re-secured, so your records stay intact

What is the recovery key and why must I save it?

When you set a passphrase, the app shows a one-time recovery key (a long code shown once). It's your backup way to regain access if you ever forget your passphrase.

Write it down or store it somewhere safe and private — a password manager or a secure note. You must tick the confirmation box before continuing.

  • The key is shown only once and can't be retrieved later
  • Avoid screenshots where possible; treat it like a spare key to your data
  • If you use recovery, you'll be given a fresh recovery key to save again

I forgot my passphrase — how do I get back in?

On the recovery screen, enter your saved recovery key, then set a new passphrase. If it succeeds, you'll receive a new recovery key to store safely.

If you no longer have your recovery key, the only remaining option is to wipe the encrypted data and start fresh — this permanently removes the encrypted data protected by the old passphrase and can't be undone. You'll be asked to type a confirmation word before it proceeds.

Because of this, keeping both your passphrase and recovery key safe is essential.

How does end-to-end encryption protect my data?

With a passphrase, your data is encrypted so that only your passphrase (or recovery key) can unlock it. Your passphrase is never uploaded — changing it re-secures the encryption key locally and on the server without exposing the passphrase itself.

The trade-off is responsibility: because no one else can decrypt your data, no one can recover it for you if both your passphrase and recovery key are lost.

If you prefer convenience over private key control, the server-managed option handles the key for you during setup.

Getting help and tracking your requests

How do I report a problem or ask for help?

Open My Tickets and tap the + button to start a new report. Pick a Category — Bug, Feature, Question, or Other — then add a short Title and a Description. For bugs, the Steps to Reproduce field helps us fix things faster.

When you submit, a ticket is created and you'll get a ticket number. You can tap View Ticket to jump straight into it.

What do the ticket statuses mean?

Each ticket shows a status badge so you know where it stands:

  • Open — submitted and awaiting our team
  • Pending — we're working on it or waiting on more info
  • Resolved — a solution has been provided
  • Closed — the ticket is finished

Use the filter pills at the top of My Tickets to view All tickets or just those in a given status.

How do I reply to or track a ticket?

Tap any ticket to open its conversation. Your messages appear on one side and support replies on the other, newest at the bottom. Type in the box at the bottom and send to add a reply.

A blue dot on a ticket in the list means there's a new reply you haven't seen yet. Pull down to refresh for the latest updates.

Replying is only available while a ticket is Open or Pending — once it's Resolved or Closed, the conversation is read-only.

Can I attach screenshots, and what should I include?

Yes. When creating a report you can attach images (up to a few per ticket) — screenshots are the quickest way to show a problem. Any attachments appear at the top of the ticket detail and open when tapped.

Tasks

Tracking your to-dos and follow-ups

What are Tasks and how are they different from Reminders and Daily Todo?

Tasks are your personal action items — things you plan to do, like a follow-up, a call, a message, a meeting, or sending an offer. Each task can carry a priority, a due date, and a linked customer.

They differ from Reminders, which are time-based prompts tied to specific events, and from the Daily Todo, which is a suggested daily checklist. Tasks are the flexible, ongoing list you build and manage yourself.

How do I create a task?

On the Tasks screen, tap the + button to open the new task form. Enter a Title (required) and an optional Description.

You can also set:

  • Priority — Low, Medium, or High (shown as a coloured dot on the list)
  • Type — Follow-up, Call, Message, Meeting, Send offer, or Custom
  • Due date — when it should be done

Tasks opened from a customer are automatically linked to that customer, whose name then appears on the task.

How do I complete, edit, or delete a task?

Tap the circle on the left of a task to mark it done — it shows a checkmark and strikethrough. Tap it again to reopen it.

Tap the task itself, or swipe right, to edit it. Inside the form you can also use Delete Task.

Swipe left on a task to delete it; you'll be asked to confirm first.

How do I filter my tasks?

Use the filter pills at the top of the Tasks screen to narrow the list: All, Open, In Progress, Done, or Overdue. Each pill shows a count.

Overdue gathers open or in-progress tasks whose due date has already passed — those due dates are highlighted in red so they stand out.

Recruitment

Referring others and earning rewards

What is the recruitment program?

Recruitment is a referral program where you invite others to join using your personal referral code or link. When enough of the people you refer qualify, you earn a reward.

The Recruitment dashboard shows your progress toward the target, your code to share, and the list of people you've referred. The program runs as a time-limited campaign and requires an active subscription to take part — a newly started subscription may need to age a little before you're eligible.

How do I share my referral code or link?

On the dashboard, the Share your code card shows your unique code. Tap Copy code to copy it, or Share link to open your device's share sheet and send your referral link via message, email, or social apps.

Your referrals sign up through that code or link. Note that the link is best opened on a mobile device so it can open the app.

How do I claim and redeem my reward?

Once you reach the required number of qualified referrals, a Reward ready card appears — tap Claim reward to generate your offer code.

To use it, tap Redeem now: on iOS this opens the App Store code redemption sheet, and on Android it opens the Play Store redeem page. You can also Copy code to paste it manually. Redeemed rewards show a confirmation banner with any expiry date.

How do I track the people I've referred?

The progress card shows your qualified count against the target (for example 2 / 3), plus how many are still pending.

Below that, the referral list shows each person with a status:

  • Pending — signed up but not yet qualified
  • Qualified — counts toward your reward
  • Churned — no longer active

If someone referred you, you can also enter their code in the Enter a code section at the top.
