What Are Invoices For?
The Invoices section in MyPink Party is exclusively for recording purchase invoices from your suppliers (e.g., Mary Kay order confirmations, shipping documents). These invoices help you track your business expenses and automatically update your inventory.
How Invoice Processing Works
- 1 Upload or manually add your supplier invoice (PDF or image)
- 2 Product details are automatically recognized from your invoice
- 3 Review and confirm the extracted data
- 4 Your inventory is automatically updated with the new stock
- 5 Your financial records are updated with the purchase amount
How to Create Customer Receipts
Customer receipts are NOT created in the Invoices section. Instead, receipts are automatically generated when you create orders for your customers.
Important: To create receipts, you must first fill out your Business Profile under Settings > Business Profile.
Steps to Create a Customer Receipt
- 1 Go to Orders in the main menu
- 2 Create a new order for your customer
- 3 Add the products your customer is purchasing
- 4 Complete the order with payment information
- 5 A receipt is automatically generated and available in the Receipts section
- 6 Share the receipt as a PDF with your customer via email, WhatsApp, or any other channel
All receipts can be downloaded and shared as professional PDF documents with your customers.
Setting Up Your Business Profile
Navigate to Settings > Business Profile and fill in your business name, contact information, and address. This information will appear on all your customer receipts.
Already have orders but no receipts? It's simple to fix! Just set up your Business Profile and update your existing orders — receipts are re-created automatically.
Generate Receipts for Existing Orders
- 1 Go to Settings > Business Profile and fill in your business details
- 2 Go to Orders and open any order that is missing a receipt
- 3 Simply update the order (you can make any small change, or just save it again)
- 4 A receipt is automatically generated — that's it!
I Created Invoices by Mistake — How to Fix?
If you accidentally created supplier invoices when you meant to create customer receipts, don't worry — you can fix this. Here's how to clean up your data:
Important: If you confirmed an invoice and it imported items to your inventory, you must unconfirm it first before deleting. This ensures your inventory quantities are corrected.
Manual Cleanup (One by One)
- 1 Open the Invoices section
- 2 Tap on the mistaken invoice
- 3 If it's confirmed, tap 'Unconfirm' first — this reverses the inventory import
- 4 Go back to the invoice list and swipe left on the invoice to delete it
- 5 Repeat for each mistaken invoice
Batch Cleanup Tool
We've also added a 'Clean Up' tool directly in the Invoices section of the app. You'll see a banner at the top if you have confirmed invoices. This tool lets you select multiple invoices at once and clean them all up in one go — it automatically unconfirms and deletes the selected invoices.
